Overview

The captain is a worker who can be assigned as the on-site manager during a shift/event. In this article, we’ll walk through the four types of Captains you can assign:

  • Event Captain

  • Area Captain

  • Shift Captain

  • Shift Task Captain

Each role comes with its own level of responsibility and permissions, allowing you to tailor oversight and control to your event’s specific needs.

To assign a captain:

Go to Scheduling > Select the relevant event. Each booked employee has an officer cap button on the right side of the screen. Select the officer cap next to the corresponding employee to assign them as a Captain.

Captain Types

Captains can perform various actions using the Ubeya app:

  • Worker check in/out and clock in/out.

  • Edit workers' shift start/end times.

  • Leave Payroll notes for workers.

  • Rate & review worker performance and provide event related feedback.

There are four types of captains you can assign:

  • Event Captain - The highest-level role on an event. By default, Event Captains can clock in/out and check in/out all workers assigned to a specific event, regardless of their shifts or areas.

In the account settings, you can optionally grant Event Captains the additional privilege to modify timestamps. When enabled, they can manually edit reported times and override both the actual clocked hours and the default shift times.

To enable this setting, go to: Settings → Scheduling & Timesheet → Timesheet → Enable event captains to modify timestamps.

Please note: on multi-day events, if you want the captain to manage all days you'll need to book them to all days accordingly.

  • Area Captain - By default, can check in/out all workers under the same area in an event. You can also assign multiple areas to the same Captain!
Please note: Additional privileges can be configured in the Area Captain settings, such as allowing them to clock workers in and out or modify timestamps.

  • Shift Captain - By default, can check in/out all workers under the same shift in an event.

Please note: Additional privileges can be configured in the Shift Captain settings, such as allowing them to clock workers in and out or modify timestamps.

  • Shift Task Captain - Can fill out shift tasks for employees during and after the event. Shift tasks must be attached to an event for this captain type to ve available.
