Unbooking Employees from Shifts

Remove employees from a shift, record the reason, and keep your event schedule accurate.

Plans can change quickly during event operations. An employee may cancel, fail to show up, become sick, or need to be removed from a shift for another reason.

In Ubeya, admins can unbook employees directly from the event, then review and update their unbooking details from the Unbooked tab. This helps your team keep a clear record of what happened and makes it easier to follow up later.


How to unbook an employee?

Go to the Scheduling > Find the employee you want to remove > Click the bin icon from the employee’s row.

Once unbooked, the employees:

  • Will no longer appear as booked

  • Will appear under the "Unbooked" tab on the event page

  • Will receive a notification confirming the change


Mark employee as "No-Show" / "Sick"

When unbooking an employee, you can also mark them as a no-show during the process. If needed, mark the checkbox and select a no-show status:

  • Failed to show up

  • Cancelled - Last minute

  • Sent home - Late

  • Sent home - Entry conditions not fulfilled

  • Sent home - Uniform issue

If the employee was unbooked because they were sick, you can navigate to the "Unbooked" tab on the event page, scroll all the way to the right and find the "Sick" checkbox.


Where can I find the list of Unbooked, No-Show, or Sick employees?

Once an employee has been unbooked, they will appear in the Unbooked tab within the event.

From this tab, you can view key details, including:

  • Original position

  • Area

  • Shift time

  • Unbooking reason (No-Show, Sick, etc.)

  • Admin notes

  • Date and time the employee was unbooked

You can also continue managing the employee's record by updating the unbooking type or adding internal notes.

For reporting purposes, Ubeya also provides the following exports:

  • Unbooked Employees report

  • Detailed No-Show report

  • Sickness Tracking report


Keeping these details updated helps your team maintain a clear event record and makes it easier to understand why an employee was removed from a shift.
