Business App Introduction

Meet our mobile app for managers to run events in real time.

Overview

The Ubeya Business App is a dedicated mobile tool that enables managers to oversee live events and shifts in real time. It centralizes attendance tracking, employee time management, shift adjustments, performance feedback, and financial visibility in one mobile interface.

Inside the Business App, managers can:

  • Monitor real-time attendance for all scheduled employees

  • View and edit clock-in and clock-out times

  • Rate employees and leave shift feedback and payroll notes

  • Change or reassign employee shifts during live events

  • Unbook employees from shifts when needed

  • View live financial data, including revenues and costs


Where to Find It

The Business App is available as a standalone mobile application for both iOS and Android devices.

Download on iOS (iPhone / iPad)

  1. Open the App Store on your device.

  2. Search for Ubeya Business App.

  3. Tap Download.

  4. Open the app from your home screen.

Download on Android

  1. Open the Google Play Store on your device.

  2. Search for Ubeya Business App.

  3. Tap Install.

  4. Open the app from your app drawer or home screen.


How to Log in

To log in, use the email address and password associated with your Ubeya profile.

If you need to reset your password, you can do so using this link.

When logging in, please make sure to use the same email address associated with your Ubeya profile.


Who Can Use This App?

The Business App is available to Admins only.
Only a user who is defined as a Manager in the system can access and use the Business App to manage live events and shifts.


Captains, employees with privileges, should use the Crew App to manage shifts.


Navigating The Business App

At the bottom of the screen, you will see the main navigation menu:

  • Home - Displays live attendance, a donut chart of scheduled employees and a list of live events that you can open and manage.

  • Upcoming- Displays upcoming events and shifts.

  • Past Jobs - Displays completed events and past shifts.

  • Requests - Displays employee requests, including time off and shift swap requests. You can open each request to review the details and approve or deny it directly from this tab.

  • Chat - Access conversations directly from the app.


Managing Live Events

When you open the Business App, you will land on the Home tab. This is your live operational dashboard for the day.

The Home tab is divided into key sections: "Live attendance" and "Live events".

  1. Live Attendance

    This section allows you to instantly understand the current status of your workforce across live events. It provides:

    • A color-coded breakdown of employee time categories

    • A donut chart displaying the total number of scheduled employees

    • A live overview of workforce activity

  2. Live Events

    Below the Live Attendance section, you will see a list of Live Events.

    Each event card allows you to monitor attendance in real time.

    • No start: Employees who have not begun their shift.

    • Clocked In: Employees who have started their shift.

    • Checked in: Employees who have arrived at their shift area.

    • Checked out: Employees who have finished their shift in their assigned area.

    • Clocked Out: Employees who have completed their shift and left the venue.

    • Absent: Employees marked as not present.

    A color-coded donut chart provides a clear visual overview of the workforce status.


Best Practices

  1. Managing Employee Time & Reported Hours

    All time viewing and editing is done from the employee’s record within the event.


    Use this area to:

    • Review an employee’s current shift status

    • Correct reported hours

    • Report time on behalf of an employee

    To Access Employee Time:

    > Open the relevant event.

    > Search for the employee.

    > Tap the employee’s name.

    From the employee record, you can:

    • View their current status (Clocked In, Checked In, Checked Out, Clocked Out).

    • Tap Edit Hours to update recorded times.

    • Tap Report Time to clock in/out or check in/out for the employee.

  2. Managing Employee Breaks

    Managers can also view and manage employee breaks directly from the employee record.

    To manage breaks:

    • Open the specific event.

    • Search for the employee using the search bar.

    • Tap the employee’s name to open their record.

    • In the Edit Timesheet section, review the employee’s break information (for example, Break 1).

    • If the employee is currently on a break, tap End break to stop the break.

    • If needed, tap Edit hours to adjust reported time.

    This allows managers to ensure break reporting is accurate and up to date during live events.


  3. Handling Shift Swaps and No-Shows

    If you need to reassign an employee to a different shift during an event:

    • Open the employee record.

    • Scroll down and tap Change Shift.

    • Browse available positions, including how many spots are still open for each.

    • Select the new shift.

    • Confirm the change.

    To remove an employee from a shift entirely:

    • Open the employee record.

    • Tap Unbook from Shift.

    • Confirm the action when prompted.


  4. Employee Rating and Feedback

    After a shift, you can rate employees and leave feedback:

    • Open the employee record within the shift.

    • Tap Rate and Review.

    • Select a star rating (1 to 5).

    • Add a written review and shift notes.

    • (Optional) Tap Add Payroll Notes to leave internal comments visible only to admins and managers.


  5. Real-Time Insight into Financials

    The Financials section allows you to monitor financial performance and staffing costs in real time.

    To access Financials:

    • Go to Home.

    • Under Live events, select the relevant event.

    • Scroll below the live attendance view.

    • Locate the Financials section.

    • Tap the arrow to expand and view details.

    The Financials section displays:

    • Revenues: Actual, Estimated, and Live figures.

    • Costs: Actual, Estimated, and Live figures.

Please note - The Financials section is available only if your account includes the Payroll module as part of your plan.


You can now react quickly to changes, ensure accurate reporting, and keep operations running smoothly, wherever you are.
