Auto-Schedule

Auto-Schedule helps you automatically build the ideal team for any event. Instead of manually assigning workers to each shift, Ubeya fills shifts for you using existing data from Smart Ranking and Preferences & Availability.

This allows admins to focus on reviewing the planner and notifying workers, while Ubeya handles the scheduling work.

Why use Auto-Schedule?

How it works

  1. Within any event, next to Notify employees, you will see a button labeled Auto-Schedule.

  2. Clicking Auto-Schedule opens a pop-up window showing all shifts in the event that are missing workers.

  3. For each shift, you can see:

    • The number of missing workers

    • Whether the shift has an active availability check

  4. By default, all shifts are selected.

  5. Click Fill selected shifts to start the scheduling process. Ubeya will review each selected shift and automatically schedule the best-fitting available workers.

Please note!
You can auto-schedule up to 15 positions at a time. To schedule the full event, simply run Auto-Schedule multiple times until all positions are covered.

Review results

Once the process is complete, a confirmation message appears with the option to Save or Revert.

  • Save keeps all scheduling changes made by Auto-Schedule

  • Revert returns the event to its previous state: Workers added by Auto-Schedule will be removed and those who were already booked will not be affected.

All selected shifts are now filled with the best-matched available workers, ready for final review and notification by the admin.
