Ubeya offers two separate options:
Recurring Availability
Weekly Preference
You can request either option individually or ask for both, depending on your scheduling process.
What is Recurring Availability?
Recurring Availability allows employees to share their general, ongoing availability.
Employees can define the days and times they are typically available to work, creating a recurring weekly availability pattern.
This option is useful when employees generally follow a consistent schedule from week to week.
What is Weekly Preference?
Weekly Preference allows employees to submit their preferences for a specific week.
Employees can select:
Not available – Visible to the employer for scheduling purposes. It does not require approval and does not prevent the employee from being booked.
Prefer to work – Indicates that the employee would prefer to be scheduled. It is visible to the employer and does not require approval.
Day off – Sends a formal request to the employer for approval, similar to a request submitted through My Requests.
Weekly Preference is useful when employees’ schedules or preferred working times change regularly.
Which option should you use?
The right setup depends on how your team manages availability:
Request Recurring Availability if employees generally follow a consistent weekly schedule.
Request Weekly Preference if employees need to submit different preferences each week.
Request both options if employees should maintain their general availability while also sharing preferences or requesting changes for specific weeks.
These options are enabled upon request by the Ubeya team. When contacting your Ubeya representative or Ubeya Support, please specify whether you would like to enable Recurring Availability, Weekly Preference, or both.
Filter Employees by Availability
Once the relevant availability option is active, you can use:
Check availability with workers marked as available only
This filter uses the availability information submitted by your employees, helping you identify suitable employees when scheduling or checking availability for an event.
What Can Employees Submit?
Depending on which options are enabled for your account, employees can:
Share their recurring availability
Submit weekly working preferences
Mark when they are not available
Indicate when they prefer to work
Submit day-off requests
These options appear in the Crew App under Availability / Preferences.
Review Availability and Requests
You can review and manage availability information in two main places:
Requests Page
View, approve, or decline pending day-off requests. You can also review the history of requests that have already been processed.
Employee Card
View an employee’s availability, weekly preferences, and time-off requests in one centralized location.
Using Recurring Availability, Weekly Preference, or both can support better planning, reduce scheduling conflicts, and create a smoother scheduling experience.
