We’ve introduced new scheduling improvements to help you plan faster, fill shifts more efficiently, and manage recurring work with greater flexibility.

Auto-Schedule

Auto-Schedule helps you quickly build the best team for your event by automatically assigning available and suitable workers to shifts.

Instead of manually filling each shift, Ubeya uses existing data such as Smart Ranking and Preferences & Availability to match workers to the right roles.

How it works:

  • Open an event and click Auto-Schedule

  • Review shifts that are missing workers

  • Click Fill selected shifts to assign employees automatically

Once completed, you can:

  • Save to keep the changes

  • Revert to return to the previous state

You can auto-schedule up to 15 positions at a time, and repeat the process until all shifts are filled.

This allows you to focus on reviewing and notifying employees, while Ubeya handles the scheduling.

Scheduling Board: Weekly Planning & Recurring Shifts

Weekly Planners

You can now create and reuse structured weekly schedules.

  • Build a weekly plan directly in the Scheduling Board

  • Save and load planners for future use

  • Apply a saved planner to any week in one action

Weekly planners are organized by location and appear in the calendar as a visual timeline across the week.


Linked (Recurring) Shifts

Shifts created across multiple days are now automatically linked.

When editing a shift, you can choose whether changes apply:

  • Only to the selected shift

  • Or to all future linked shifts

This makes it easier to manage recurring schedules while keeping flexibility for individual adjustments.


Improved Shift Visibility

New visual indicators have been added to make scheduling clearer:

  • Icons highlight recurring (linked) shifts

  • Linked shifts are visually connected when hovered

  • Event-based shifts are marked and can be accessed directly


Design Improvements

Several design enhancements have been rolled out across the Scheduling Board to improve the overall experience, including:

  • Better visibility

  • Improved readability

  • Enhanced usability

These changes make schedules easier to scan and manage, especially in busy planning scenarios.
