Scheduling just got a whole lot easier! With Smart Ranking, you can instantly see how well each employee fits a specific shift. Each employee gets a unique Match Score, based on their experience, performance, reliability, and more - helping you choose the right people every time.

What is Smart Ranking?

Smart Ranking is an intelligent scoring system that calculates how well an employee matches any given shift.
The Match Score takes into account multiple parameters such as:

  • Experience in the same position, area, or with the client

  • Attendance and on-time rate

  • Overall rating and client-specific rating

  • No-show history and tenure

  • Preferred or blocked status with the client

These factors are combined into a single Match Score, showing next to the employee's name, giving you a quick visual cue for who’s the best fit for the job.

Pro tip: Employee ratings are one of the strongest drivers behind Smart Ranking. Keeping ratings up to date is the simplest way to influence match scores and maintain accuracy, fairness, and reliability over time, since recent ratings carry more weight than older ones. Don’t forget to rate your employees regularly!

Where Can You See It?

The Match Score is now always visible next to the employee’s name, not just when hovering, making it easier to spot top matches at a glance, including:

  • Available Employees column

  • Booked Employees column

  • Manual Booking screens

Hover for More Insights

The hover card now has a new header showing the employee’s status, their star rating, and no-show rate. Star rating and no-show rate are no longer visible on the employee card but can be seen directly from the hover card.

Simply hover over an employee’s name to see their full profile summary, including:

  • Shifts worked

  • Past shifts with this client

  • Experience in this position

  • Experience in this Area

  • Experience in this Area & Position

  • Rating by Client

  • Rating in this Position

  • Attendance rate

  • On-time rate

  • Tenure

Hovering over the name of an external employee will show a hover card as well, though Smart Ranking data is not displayed for these employees yet.

Smart Visuals for Quick Decisions

Match Scores are color-coded to help you make quick decisions:

  • Red - Low match (0–25%)

  • Orange - Medium match (25–50%)

  • Green - Above average to high match (50–100%)

Each bar represents the employee’s standing relative to the average, giving you a clear visual understanding of who’s performing above or below the benchmark for this shift.

In addition, crowns now appear on employees who have worked with the client before, making it easier to spot familiar staff at a glance.

Smart Ranking now helps you save time by focusing only on top matches, making more data-driven booking decisions, and ensuring the right people are always in the right place.


Smart Ranking vs. Star Rating – What’s the Difference?

Star Rating is an employee’s overall rating, based on feedback from completed shifts. You can always see it in the Employee Profile, with a full breakdown under the Jobs tab. Use it when you want to understand an employee’s overall quality and track record.

Smart Ranking is a shift-based Match Score that shows how well an employee fits the specific shift you’re currently booking. It’s calculated per shift using signals like relevant experience (position/area/client), ratings, attendance and on-time rate, reliability, and more. Use it when you want to choose the best-fit employee for a specific shift.

In short: Star Rating = overall rating. Smart Ranking = match for a specific shift.

Note: Rankings are internal tools used by managers and admins for booking decisions. They are not visible to employees.

Best Practices - When to Use Each One

Use Smart Ranking When:

  • Booking employees for a specific shift

  • Comparing available employees quickly

  • Making data-driven decisions under time pressure

  • Optimizing match quality for a client, position, or area

Use Star Rating When:

  • Reviewing an employee’s overall performance

  • Making long-term staffing decisions

  • Evaluating quality across multiple clients or roles

  • Conducting performance reviews
