Timesheet Module Deep Dive

This is the central hub for reviewing, confirming, and exporting employee work hours.

The Ubeya Timesheet provides a complete overview of your workforce records. It details when employees worked, where they worked, their job positions, and the total hours they worked. This all-in-one tool simplifies tracking and managing staff hours effectively.

Timesheet Display Settings

Define your desired date range by clicking the dates in the top-left corner. You can view timesheets from today, this week, last week, this month, last month, or choose a custom date range as shown below:

Once you select a date range, click to expand any given day’s shifts and see the magic before your eyes! You will see all scheduled employees along with their roles, shifts, clock in/out times and breaks. You can also click on the 'Pencil' icon to edit the presented columns, creating a view tailored to your needs.

Group and filter the Timesheet

You can organize the Timesheet view by using filters and grouping options.

For example, you can filter the Timesheet by branch or group the table by date, employee, client, branch, and more.

Grouping and filtering help you review timesheet records in a way that matches your operational process.

Pro Tip: If an employee forgot to report a break, you can easily add break time(s) after the fact by clicking the ‘+’ icon in the “Breaks” column.


Exporting Timesheet Data

Export timesheet data by clicking the three-dots in the top right corner and selecting “Export Timesheet”. You will then be able to select which fields to export.

You can print the timesheet directly from the Ubeya interface!


Use Live View

Live View helps you monitor attendance activity in real time.

Use Live View during active shifts or events to quickly review current attendance status and identify employees who may require follow-up.

To open Live View:

  1. Open the Timesheet module.

  2. Select the relevant date.

  3. Click Live view.

Live View is useful when you need to monitor ongoing workforce activity while the shift or event is still taking place.


Configure the Timesheet table

You can configure the Timesheet table to choose which fields appear in your view.

To configure the table:

  1. Click the table configuration icon.

  2. Select the fields you want to display.

  3. Clear fields you do not need.

  4. Click Update.

You can also click Reset to default to return to the default table view.


Confirm a Timesheet Entry

Once an employee has clocked out of their shift, you will be able to confirm the shift by hovering over and selecting the green checkmark to the left of the employee’s name. Below is an example of a confirmed shift:


Manage daily employees and statuses

Daily employees can be reviewed from the Timesheet.

From the shift details window, you can update the employee’s status when needed.

Available statuses may include:

  • In office

  • Work from home

  • Sick

  • Day off

To change a status:

  1. Open the employee’s Shift details.

  2. Click the status dropdown.

  3. Select the relevant status.

  4. Click Save.

Updating statuses helps keep attendance and workforce records accurate.


Secure Timesheet Locks

Approved timesheets are now locked to safeguard all details within. Need adjustments? Simply un-approve to edit, ensuring past records remain accurate and untampered.

Did you have a great experience with an employee? Add shift details such as a rating or a review either by clicking the ‘+’ icon under details or clicking the three dots on the right side of the employee row and select “Shift details” for a bird’s eye view of the entire shift (like below, for instance).
