Ubeya's recent updates are here!

Scheduling Board: Shift Confirmation Status Now Visible and Actionable

Admins working in the Group by Employee view can now check and update shift confirmation statuses directly from the board - without switching views or opening separate event screens.

What’s New:

  • Confirmation Icon: Each shift card now displays a visual icon indicating whether the shift is confirmed or unconfirmed.

  • Hover Tooltip: Hover over any shift card to view who confirmed the shift.

  • Instant Action Menu: Confirm or unconfirm shifts directly from the shift context menu. Updates apply instantly without refreshing the page.

Where to find it:

Web → Scheduling → Scheduling Board → Group by Employee

Employee Pay Rates – Future & Historical Rates Now Supported

Admins can now manage pay rate changes over time directly from the employee profile (Employees & Compliance ›Employees > Employee Profile › Pay Rates). Instead of storing a single static value, each employee can have multiple rate entries - each tied to its own effective start date.

What’s New?

  • Effective Date Tracking: Add multiple pay rate entries over time for both base wages and position-specific rates.

  • Organized Rate Timeline: Pay rates are automatically grouped into:

    • Past: Previous rates kept for reference and historical reporting.

    • Current: The active rate for today.

    • Future: Upcoming rate changes scheduled in advance.

  • Date-Accurate Payroll: Payroll automatically calculates wages using the correct rate for the exact shift date, including retroactive adjustments if a historical rate is updated.

Why It Matters

Instead of overwriting previous rates or waiting until payday to update wages, teams now get full visibility into rate history. You can schedule future wage adjustments ahead of time without affecting current pay, ensuring payroll always calculates the exact right rate for every shift.

Crew App Timesheet Module

Employees can now view their worked shifts, track total hours, and check approval statuses directly from the Crew App (Menu › Timesheet).

What’s New?

Mobile Timesheet Access: Employees gain full visibility into past worked shifts, clock-in/out stamps, break durations, and approval statuses straight from their phones.

  • Branch-Level Admin Controls: Admins maintain full control over editing permissions. Under Settings › Timesheet, admins can toggle "Allow employees to edit timesheet through their mobile app" on or off per branch, with separate settings for Daily employees and Shift employees.

  • In-App Edits: When permitted, employees can correct missed clock-ins or submit past timesheet adjustments directly through the mobile app.

  • Clear Web Auditability: In the Web Timesheet module, employee-adjusted entries are flagged with an orange document icon and a "Submitted by employee timesheet in Crew App" tooltip so you always know where edits originated.

Why It Matters

This update gives employees complete transparency over their hours while streamlining the process of resolving missing time entries. For management, it provides total auditability and transparency over timesheet changes without sacrificing operational control over editing permissions.
