Overbooking Shift: A Guide for Suppliers

Suppliers can take a proactive approach by reserving staff without interfering with the clients view

As a supplier, you can only book the exact number or fewer employees than the amount specified in your client’s order. This means overbooking an existing shift is not allowed. However, to help you stay organized and ensure you have extra staff available when needed, we’ve created the Overbooking Shift feature.

An overbooking shift allows you to schedule additional staff that will not be visible to the client by default, giving you the flexibility to plan for unexpected needs without affecting your client’s payroll or schedule.

How to Create an Overbooking Shift

Follow these steps to add an overbooking shift to an existing order:

  1. Click on an Event: Navigate to the event you received from your client.

  2. Click the Edit Icon: Open a shift details by clicking the pencil icon / open the top right three dots menu and choose "Edit shifts" to edit a shift.

  3. Click 'Add Another Shift': This option will allow you to add additional staffing for the shift.

  4. Input Position and Employees Needed: Specify the role or position and the number of extra employees required.

  5. Click 'Update': Once you’ve added the details, click "Update" to save the changes.

The Overbooking Shift will now be added to the event.

Important Notes About Overbooking Shifts

  • Invisible to Clients: By default, overbooking shifts are not visible to your client.

  • Turning Overbooking Shift into Regular Shift: If your client wants access to the overbooking shift, you can convert it into a regular shift. Doing so will make the extra employees visible to the client and include them in the payroll calculation.

    • This can be achieved by pressing on the three dot menu on the "Overbooking shift" you've added, and clicking on the "Set as a regular shift"

  • Payroll Impact: Please note, when you turn an overbooking shift into a regular shift, the added employees will be included in the client’s payroll calculation. Only do this if the client has agreed to the change and is aware of the implications.

Key Reminder

Avoid converting an overbooking shift into a regular shift unless explicitly agreed upon by the client. Always ensure that the client is informed of the additional employees and understands how it may impact their payroll.

By using the Overbooking Shift feature, you can manage staffing more effectively while keeping your client's needs and budget in mind.
